Appointments & Cancellations
Scheduling
Appointments can be scheduled by contacting us directly via phone, email, or through our Website contact form. Appointment availability is subject to our schedule and may vary.
Cancellation Policy
We understand that circumstances arise that may require you to cancel or reschedule an appointment. We request the following:
- 24-Hour Notice: Please provide at least 24 hours notice for cancellations or rescheduling
- Late Cancellation Fee: Appointments cancelled with less than 24 hours notice may be subject to a cancellation fee
- No-Show Policy: Failure to attend a scheduled appointment without notice may result in a fee equal to the full session rate
We recognize that emergencies happen. Please contact us as soon as possible if you are unable to attend your appointment, and we will work with you on a case-by-case basis.
Late Arrivals
If you arrive late to your appointment, your session will still end at the originally scheduled time to avoid impacting subsequent appointments. The full session fee will apply regardless of late arrival.
Payment Terms
Fees and Payment
Fees for counseling services will be discussed and agreed upon before services begin. Payment is due at the time of service unless other arrangements have been made in advance.
We accept the following forms of payment:
- Credit and debit cards
- Health Savings Account (HSA) cards
- Flexible Spending Account (FSA) cards
Insurance
Dancing Bee Counseling is an out-of-network provider. We do not bill insurance directly. However, we can provide superbills (detailed receipts) that you may submit to your insurance company for potential out-of-network reimbursement. Reimbursement depends on your specific insurance plan and is not guaranteed.
Good Faith Estimate
Under the No Surprises Act, you have the right to receive a Good Faith Estimate explaining how much your medical care will cost. This estimate will be provided before services begin or upon request.

We reserve the right to terminate services if we determine that the therapeutic relationship is no longer beneficial or appropriate.
Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Wisconsin, without regard to its conflict of law provisions.
Any dispute arising from or relating to these Terms or your use of the Website shall be subject to the exclusive jurisdiction of the state and federal courts located in Dane County, Wisconsin. You waive any objection to venue in these courts.
Dispute Resolution
Before initiating any legal proceedings, you agree to first attempt to resolve any dispute informally by contacting us. We will attempt to resolve the dispute through good faith negotiations within thirty (30) days of receiving your notice.
